START WITH YOUR VEHICLES
Build a plan around how the fleet works.
Vehicle list and operating conditions
Prepare a list of the vehicles you want to discuss, including year, make, model, engine or fuel type, mileage and a unit number if your business uses one. Note the work each vehicle performs, typical mileage, idling, towing or load requirements and any modifications. These details help the shop assess the requested work and whether the vehicle fits its equipment and service scope.
Maintenance history and what is due
Bring available records for oil and filter service, fluids, brakes, tires and previous repairs. Ask how the manufacturer’s maintenance requirements apply to your operating conditions. An unknown service history is a reason to establish a baseline, not to assume every component or fluid needs replacement.
New concerns and repeat problems
Record the driver’s description of a warning light, noise, starting problem, temperature change or handling concern. Include when it occurs and whether the vehicle has recently been repaired. Use the same unit number on the inquiry and records so a symptom reported by one driver stays connected to the correct vehicle.
AGREE ON THE WORKFLOW
Define decisions before a vehicle is down.
Inspection scope and repair approval
Identify who can authorize diagnostic work and repairs, who should receive updates and whether a purchase order or spending limit needs to be discussed. Agree on what should happen if an inspection finds additional work. Ask for the concern, findings, proposed repair and estimate to be distinguished clearly so the responsible person can make a decision.
Scheduling and downtime
Tell the team when each vehicle can be released and when your operation needs it back. Discuss whether maintenance visits can be staggered and how an unexpected repair would affect that plan. Inspection time, parts availability and repair scope can change timing. Confirm the plan for each vehicle; an account inquiry does not reserve capacity or guarantee priority or a completion time.
Records and account arrangements
Discuss the business name, vehicle identifiers and invoice references you need for your records. Confirm payment and account arrangements directly with the selected PAC shop before work begins. Fleet volume does not establish credit terms, discounts or a maintenance package automatically.
